This Policy explains how Exo Advantage LLC ("Exo Advantage," "we," "us," or "our") collects, uses, discloses, and protects personal information through exoadv.com, our Squarespace-hosted customer education portal, and related online interactions (collectively, the "Services").

1. Scope

This Policy applies to visitors, prospective and current business customers, education-portal users, and other individuals who interact with the Services. It does not apply to workforce records or information handled solely under a separate written agreement that expressly governs privacy.

The Services are intended for healthcare professionals and business users, not for patients seeking care. Do not submit patient records, protected health information, clinical images, or other sensitive health information through website forms, HubSpot scheduling tools, email, or the education portal. Exo Advantage is not a healthcare provider, and use of the Services does not create a patient-provider relationship.

2. Information We Collect

Information you provide

  • Contact and professional information, such as name, work email, telephone number, job title, employer or practice, and mailing or billing address.

  • Account and portal information, such as login credentials, course enrollment, training progress, acknowledgments, and support requests.

  • Sales, customer-service, and transaction information, such as product interests, meeting requests, quotes, purchase orders, order history, invoices, payment status, and correspondence.

  • Marketing preferences and information you provide through forms, event registrations, surveys, or conversations with us.

Information collected automatically

When you use the Services, we and our providers may automatically collect device and usage information, including IP address, browser and device type, operating system, referring pages, pages viewed, dates and times, approximate location derived from IP address, cookie identifiers, and interactions with forms, emails, and portal content.

Information from other sources

We may receive business contact information from your employer or colleagues, referral partners, event organizers, public professional sources, and service providers that support our sales and customer relationships.

  • Provide, operate, personalize, and secure the Services and customer education portal.

Squarespace, HubSpot, and their technologies may use cookies, pixels, local storage, and similar tools to operate the site, remember preferences, measure traffic and engagement, support forms and scheduling, and evaluate marketing performance. Some cookies are necessary for the Services to function; others are analytics or marketing technologies and may depend on your location and choices.

Blocking cookies may affect certain site or portal features. Browser-based opt-out signals, including Global Privacy Control, will be honored where required by applicable law and supported by our configuration.

  • Squarespace, which hosts the website and customer education portal and provides site operations and analytics.

  • HubSpot, which supports marketing, forms, meeting scheduling, email communications, analytics, sales activity, and customer relationship management.

  • Intuit QuickBooks, which supports invoicing, accounting, payment-status tracking, and customer management.

  • Other vendors and professional advisers that provide hosting, communications, security, analytics, payment, fulfillment, legal, accounting, insurance, or consulting services.

  • Government authorities, courts, law enforcement, or other parties when required by law or reasonably necessary to protect rights, safety, and security.

  • A buyer, investor, lender, adviser, or successor in connection with an actual or proposed merger, financing, reorganization, sale of assets, or similar business transaction.

We do not sell personal information for money. We do not knowingly share personal information for cross-context behavioral advertising. If our practices change, we will update this Policy and provide any legally required choices before applying the change.

6. Legal Bases for Processing

Where a law requires a legal basis, we process personal information as necessary to perform a contract or take steps at your request; for our legitimate interests in operating, securing, and improving our business; with your consent; and to comply with legal obligations. You may withdraw consent at any time, without affecting processing already completed.

We retain personal information only as long as reasonably necessary for the purposes described in this Policy, including to provide Services, maintain business and transaction records, comply with legal, tax, accounting, and regulatory requirements, resolve disputes, enforce agreements, and preserve security. Retention periods vary based on the type and sensitivity of information, the relationship involved, legal requirements, and operational need. We may retain de-identified or aggregated information for longer where it cannot reasonably be linked to an individual.

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep portal credentials confidential and notify us promptly if you suspect unauthorized account access.

9. Your Choices and Privacy Rights

Communications and cookies

You may unsubscribe from marketing emails by using the link in the message. We may still send non-marketing messages about accounts, transactions, training, support, or our business relationship. Cookie choices are described in Section 4.

Privacy requests

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; to withdraw consent; or to appeal a decision about a request. You may also have the right not to receive discriminatory treatment for exercising privacy rights.

Exo Advantage is based in the United States. We and our service providers may process information in the United States and other countries, where privacy laws may differ from those in your location. Where required, we use appropriate safeguards for international transfers.

11. Children

The Services are intended for business and professional users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.

12. Third-Party Sites and Services

The Services may link to or integrate third-party websites and services. Their privacy practices are governed by their own notices, not this Policy. Review those notices before providing personal information.

We may update this Policy from time to time. We will post the revised version on this page and update the effective date. If changes are material, we will provide additional notice when required by law.
